Track and categorize personal vs business expenses

Transactions

The Transactions page is your central hub for all expense tracking. Here you can view, filter, and manage all your financial records.

Personal vs Business

BasedInbox separates your expenses into two main categories:

Personal Expenses

These are everyday expenses that aren't work-related:

  • Groceries and dining
  • Personal shopping
  • Entertainment
  • Home utilities

Business Expenses

Work-related expenses that may be tax-deductible:

  • Office supplies
  • Client meetings
  • Travel for work
  • Professional subscriptions

Viewing Transactions

List View

The default view shows transactions in a chronological list with:

  • Date and time
  • Merchant name
  • Category icon
  • Amount
  • Type indicator (Personal/Business)

Filtering

Use the filter bar to narrow down transactions:

Date Range Today, This Week, This Month, Custom
Type All, Personal, Business
Category Select from available categories
Status Reviewed, Pending, All

Sorting

Click column headers to sort by:

  • Date (newest/oldest)
  • Amount (highest/lowest)
  • Merchant (A-Z)

Categories

BasedInbox uses a smart categorization system:

Default Categories

  • 🍔 Food & Dining — Restaurants, groceries, coffee
  • 🛒 Shopping — Retail, online purchases
  • 🚗 Transport — Fuel, parking, rides
  • ✈️ Travel — Flights, hotels, vacation
  • 💼 Office — Supplies, equipment, software
  • 🏥 Healthcare — Medical, pharmacy
  • 🎬 Entertainment — Movies, games, events
  • 🏠 Utilities — Bills, subscriptions
  • 📚 Education — Courses, books

Custom Categories

You can create custom categories in Settings to match your specific needs.

Quick Actions

Single Transaction

Click any transaction to:

  • Edit details
  • Change category
  • Toggle Personal/Business
  • Add notes
  • View attached receipt
  • Delete

Bulk Actions

Select multiple transactions using checkboxes:

  • Change category for all
  • Mark all as personal/business
  • Export selected
  • Delete selected

Use the search bar to find transactions by:

  • Merchant name
  • Description
  • Amount (exact or range)
  • Notes

Insights

At the top of the page, you'll see quick insights:

  • Total spent this period
  • Personal vs Business breakdown
  • Top categories by spending
  • Trend comparison with previous period

Exporting

Export your transactions in various formats:

  • CSV — For spreadsheets and analysis
  • PDF — Formatted reports
  • Accounting format — Xero/QuickBooks compatible

Tips

  1. Review regularly — Check new transactions weekly
  2. Use tags — Add tags for projects or events
  3. Attach receipts — Link receipts to bank transactions
  4. Set rules — Create rules for recurring merchants
